Changes related to the project's status, stage, and structure can be made on the project list, in the kanban view, and on the project card as described in this guide.
More detailed instructions related to project content can be found in their respective sections organized according to the tabs of the project card.
Permissions: Projects
PSA plans: all
From the three-dot menu in the project list and kanban view, or through the project card's Actions button, a menu opens where you can perform the following actions depending on the project's pipeline and your own settings:
- Mark as won: the project in the sales stage (pipeline) moves to the Won projects pipeline. For example, when the customer has accepted the quote and the contract has been signed.
- Mark as lost: the project in the sales stage (pipeline) becomes lost and is no longer active. For example, when the quote did not result in a sale.
- Archive: a completed project, which will no longer have actions taken on it, can be closed by archiving. For example, a project that has been completed and fully invoiced.
- Activate: a previously archived project can be reactivated for work. For example, when the customer complains, and additional work is done on the project.
- Put on hold: operates like an archived project, but the status indicates that it is intended to be returned to active later. For example, when the timing of the project changes far into the future.
- Copy project: uses the data and settings of this project as the basis for a new project, see instructions here.
- Unlink from parent project: subproject becomes the main project.
- Assign as a subproject: main project becomes a subproject.
- Add subproject: a subproject is added to this project.
- Move to pipeline: this project is moved to another pipeline.
- Move to internal project: if it is not an customer project, but a project created for internal work, the project is moved to internal projects pipeline.
- Edit special permissions: specific exceptions can be granted on permissions for the project. Functions similarly to account card.
- Send to integration: projects can be sent to some integrations as accounting objects.
- Delete: completed projects are typically archived, but a project created entirely without cause can also be deleted. Note! A project cannot be deleted if, for example, it has associated subprojects, hours, attachments, invoices, quotes, etc. If Delete is not active, hover the cursor over the text to see the factors preventing deletion. To delete the project, these preventing factors must first be removed.
