Account structure
Account structures link together companies in the same corporation or units in the same company. Account structure hierarchies can be useful e.g. as filters on the account list and reports. If you have been given the permission:
- Accounts > Set corporate structure, you can define accounts as parent companies and their subsidiaries (accounts have separate business/VAT IDs).
- Accounts > Sub-units: you can define accounts as main units and their sub-units (accounts have the same business/VAT ID).
Join existing accounts into a structure by going to the subsidiary's or subunit's account card > Edit > fill in Corporation parent company or Main unit and save.
If you wish to create a new subsidiary or sub-unit, that does not yet exist in the program, you can do it from the parent company's or main unit's account card > Account structure, or from the account list's three dots.
Account relations (only in Enterprise+ plan)
Enterprise+ multi-company setup has shared accounts between companies, so that one account and contact person can be used between all your companies. However, the same account may have different types of relations to each of your companies, e.g. for one it is a buying customer but for another a partner. These account relations can be useful information e.g. in the account list.
To add or delete account relations for your companies, navigate to an account card > Account relations > click on the green plus-icon or three dots.
Invoicing details
Default penalty interest, notice period, and payment terms are inherited from the account card for invoices, but they can be modified separately on the invoice.
Products to be sold to the account can be restricted using the product catalogs. Read more here.
Addresses
Invoicing address
You can add multiple addresses if necessary, for example, for different units or offices of the account, as long as they have the same business ID. The invoicing address of the account card is inherited by default to the account's projects, but on the project card, invoicing can also be directed to another address or account. Read more about the use of invoicing addresses here.
Visiting address
Define the customer's visiting or mailing address.
Delivery address
Define the delivery address for products or services.
Team
Contacts
Contact person refers to the representative of the account or partner with whom you are in contact. Choose either the Contacts or Partners tab depending on the type of company, and link to a person already found in PSA.
Hourly Rates
If the pricing of work hours varies between accounts and projects, defining contract prices in the account or project cards' hourly rate lists facilitates the creation of project invoices with the correct hourly charges. Hourly pricing utilizes the program's job types, professional titles, or user-specific pricing. Multiple hourly rate lists can be created for an account card, of which one is active at a time and that one can be retrieved for use in the project card. Read more here.
Charts
On the right side of the overview page, depending on your permissions, you will see various visual charts related to account information, e.g. Activities Overview , Pipeline Overview and Invoicing Overview.
