- Resourcing reporting
With the resourcing tool, you can plan your company’s work efficiently and stay up to date on project progress. Resourcing is divided into two main sections that can be used separately or combined:
- Tasks: when you want to break a project down into smaller scheduled tasks that you assign to specific users or teams. E.g. a recurring task "monthly invoicing" assigned for the project manager.
- Allocations and utilization: when you want to allocate employees' work time to projects and job types, and monitor their utilization rates meaning the workload in the coming days/weeks/months. E.g. The specialist is allocated 20 hours of working time for a specific customer project.
Permissions: Resourcing
PSA plans: Business (with add-on), Enterprise, Enterprise+
Resourcing settings and permissions
Resourcing permissions are granted separately for tasks and allocations. You can tailor them by role, e.g., give basic users permission only to their own allocations, but give the project manager permission to see all allocations for their projects.
In resourcing settings you define the default resourcing settings for your company. In addition, you can define classification details for tasks.
Tasks
A project can be divided into scheduled tasks, for which the budgeted number of hours is assigned to specific staff member or resource teams. This allows you to split the project into parts whose progress is easy to track. You can also add, for example, recurrence, a checklist or attachments to the task, or price the hours logged to the task differently from the rest of the project.
The kanban view for tasks visualizes project progress phases as statuses, which you can define entirely according to your company’s needs. You can drag and drop progressing tasks to the next status.
Allocations and utilization
In the allocation view you can resource staff's work time to projects even without tasks. The allocation view makes dividing work simpler, faster, and clearer. In the view, you can:
- view staff whose allocations you have permission to access
- add work by project or task rows
- record allocations in hours, by day, or relative to working time.
The view automatically calculates staff utilization and billable utilization rates, supports pipeline stage probabilities in planning, and helps identify missing allocations.
With the Utilization report you can monitor people’s utilization, i.e., how large a share of their working time has already been allocated to different tasks or projects.
Resourcing notifications
You will see your current tasks and allocations on the My day dashboard when signing in.
Also task-related notifications within the software or by email help you stay up to date on new tasks and changes to them. Notifications can be subscribed to, for example, for:
- Adding new tasks
- Tasks becoming due
- When another user marks their hours on your task.
Resourcing reporting
The software includes extensive options for resourcing reporting.
- The default reports for the new reports, e.g., overdue tasks and utilization.
- New reports can be created by users themselves with the desired columns, filters, and groupings.
