In this article we have listed common terms and words used in the Heeros PSA software.
Companies & People
Account = Your customer or other contract partner. Account card is a centralized place to manage all information about the customer including company and contact information, project and payment details.
Contact person = The people working in your customer companies or other contract partners. Contact card includes name, contact details and associations to accounts/projects.
Staff/User = A Heeros PSA user.
Account type = Is used to categorize your accounts into partners, customers, prospects, sub-contractors, etc. for easy segmentation and reporting purposes.
Project, pipeline and quote
Project = Lead, ongoing customer project, or internal project. In PSA, the same project goes through different stages, such as from lead to quotation and invoicing, until it is closed as a project.
Pipeline = A feature that enables you to transfer the same project between different phases of the sales process. PSA has three default pipelines: Sales pipeline (quotation phase), Won projects (confirmed deals) and Internal projects (vacations, absences).
Stage = The phase of the sales pipeline that the project is on at the moment, such as lead, contacted or offered. With stages, the pipeline can be divided to smaller phases.
Quote = A project calculation to define the project value and margin, and included products and services with their internal costs and sales prices. Can be used for internal calculation or sent to customer as a quotation.
Sales Invoices
Blank invoice = An invoice created out of scratch without project material.
Project invoice = Is created with project costs (invoicing material), such as hours, bills and expenses.
Mass invoicing = Possibility to create multiple invoices at once for a chosen time period or account.
Invoice material = Billable project costs, such as hours, bills (reimbursement), travel and other expenses, quotes and scheduled invoicing.
Scheduled invoicing = Can be used for example when a project has been sold at a contract price or is invoiced in instalments. The scheduled invoicing rows will appear on the sales invoice and invoicing material after Invoice date.
Automatic invoicing = The program automatically creates an invoice to Waiting-status on the chosen date, and thus the invoice appears to invoice list ready to be sent. You can also specify whether to add other project costs directly to an automatic invoice.
Resourcing
Allocated hours = Task's total hours.
Resourced hours = Hours assigned from a task to a specific user.
Utilization = The percentage of a user's work time allocated to tasks within a specific time period.
Costs
Actual expenses = Actual project-related costs, consists of hours, bills, expenses and travel expenses.
Internal hourly cost = Internal cost set in user management €/h.
Travel expense = Staff's work-related travel expenses, such as daily allowances and mileage allowances, tied to the duration of the trip.
Expense = Staff's other work-related purchases except travel expenses, not tied to working hours.
Products
Product spesification (CPQ) = A tool that allows you to create product packages from existing products or individual rows.
Product catalog = Product list that you can use, for example, for annual or special pricing. On the account card, you can define which catalog is used for them.
