You can import your existing accounts to PSA with an Excel file instead of adding them manually. This can be done in Settings > Feature settings > Account > Import accounts. Note! Please make sure to activate the needed accounting integrations before the account import, so that the needed integration related fields can be used with the import tool.
Importing multiple contact persons at once is not available in the program at the moment, only one contact person per account. If needed, please contact our customer service in order to buy this service from us.

Requirements for the import file
If you don't have a suitable account Excel file on your computer yet, you can first download an import template from Settings > Feature settings > Account > Import accounts, and fill in the information.
- The file must be in XLSX format.
- The program doesn't check doubles so the same customer should appear in the list only once.
- Normally the account numbering will be done automatically. However, if the manual account numbering setting is activated, then the account numbering has to be given in one column of the file. Note! If you import also integration ID, these must be in separate columns.
- Any classification data must be exactly in the same format as found in the program, otherwise the import will create a new classification to the settings. (For example account type "customers", not "customer".)
- You can import one contact person per account, whose contact information is found on the same account row. First and last name need to be in separate columns.
- We recommend importing official VAT codes and the full invoicing address details, country code in the format that your accounting integration requires.
Importing the file
Note! Please make sure to activate the needed accounting integrations before the account import, so that the needed integration related fields can be used with the import tool.
- Click Import accounts.
- Upload XLSX file from your computer.
- Click Continue.
Loading the next step may take a while if the file is large. - Choose the financial software integration that will be used with PSA.
- Choose the importable data fields with green arrows. Click the arrow as gray if certain data should not be imported.
Note! Account name is mandatory (also account number if the manual numbering setting is on).
Check that the column names match on both sides of the arrows, so that the data from your file will be imported to the right fields in PSA.
Green arrow = column will be imported.
Gray arrow = column will not be imported.
- Click Continue.
The program validates the data and tells you if errors were found. If you need to correct some data in the file, please choose Back, fix the data in the file and start the import again. You can also choose Skip errors when the program won't import the rows in question (and/or Update existing accounts if you wish to update accounts existing in PSA). - Click Import. You will see a summary of the import. '
- Click Close.
