You can utilize the Google Drive storage service as well as Google Docs, Sheets & Slides documents in PSA. Through the integration, users can view files in Google Drive from Finago PSA and add files and folder structures there. The admin user first creates a root folder and activates the integration at the company level, after which each user activates their connection individually. Viewing and managing Drive files in PSA is only possible for users who have been granted the necessary permissions on Drive and who have completed personal authentication in the PSA.
Permissions: Admin (company-level authentication), all users
PSA plans: Growth, Business, Enterprise, Enterprise+
Activating the Integration
The administrator first creates a root folder and activates the integration at the company level, after which each user activates their own connection through My Profile.
1. Creating a Root Folder in Google Drive
Before activating the integration in the PSA, the administrator must add a root folder, or main folder, in Google Drive under which accounts and projects will subsequently be organized from Finago PSA. The administrator must also grant permissions to the necessary PSA users for this folder in Drive.
2. Company-specific authentication
- Go to Settings > Integrations > Google Drive > Activate.
- Click Activate here.
- Click Authenticate here.
- Select your organization's Google account and grant permissions.
- Copy the authentication code.
- Paste the code into PSA.
- Click Activate.
- Select the root folder you created in Google Drive, where the data to be transferred will be exported in the future. Note! If you have used the Google Drive integration in your old Finago PSA version, select the same root folder for the newer Finago PSA version as well.
3. User-specific authentication
The administrator who performed the company-level authentication must keep their Drive connection active at all times so that activations for other users can be successful.
- Go to My profile > Personal profile > Integrations > Google Drive integration.
- Click Authenticate here.
- Select the correct Google account and grant permissions.
- Copy the authentication code.
- Paste the code into the PSA.
- Click Activate.
Adding Files to Drive
Files are managed in Finago PSA on the account card or project card under Attachments.
If the account or project does not yet have a folder in Drive, click the button Create folder in Google Drive. The integration will automatically create the necessary folder structure under the root folder of Drive: Account > Project > Subproject. This may take several minutes.
Add the desired file type in the section Add online document.
- The file opens in a new window for editing.
- The file will automatically be named "Finago PSA-file". You can change the name as desired. Note! The new name will update to PSA with a delay, refresh the page if necessary.
- The file updates to be visible in Finago PSA and also immediately syncs to Google Drive under the customer and/or project.
- The file can be deleted from PSA if necessary by clicking the three dots in front of the row.
Note:
- If there were attachments in Finago PSA before the activation of the integration, these files will still be visible in PSA as usual, but will not automatically transfer to Google Drive.
- The buttons related to Google Drive are only visible to users who have completed personal authentication in My Profile.
- The size of attachments must not exceed 26 MB.
- Google is responsible for the usage and sharing permissions of the files.
- Document management is conducted in accordance with the tools and guidance provided by Google.
Deactivate the Integration
The integration can be disabled by clicking in the integration settings: Deactivate > Confirm.
