Permissions: Sales quote editing rights (admin rights required for currency rate management)
PSA plans: Growth, Business, Enterprise, Enterprise+ (Requires an add-on to function, more information from Customer support)
Activating Multi-Currency Support for Sales Quotes
To enable creation of sales quotes in different currencies, an active multi-currency support add-on is required (more information from Customer support). Once the add-on is activated, the activation of multi-currency support for sales quotes is done as follows:
- Go to Settings → Feature Settings → Projects
- Scroll down to "Create Sales Quotes in Other Currencies"
- Activate the feature by clicking the toggle "Allow creating sales quotes in other currencies"
After activating the setting, you must define the available currencies and their exchange rates. This is covered in the next section.
Management of Currencies and Exchange Rates
To enable the creation of sales quotes in different currencies, it is necessary to define the currencies and rates that can be used for the sales quote. You can access the management of exchange rates as follows (requires admin rights):
- Go to Settings → Feature Settings → Sales and Purchase Invoices
- Select the "Currency Settings" tab
- Currencies and their rates added to the table serve as the currencies for sales quotes, in addition to sales and purchase invoices.
Creating a Sales Quote in a Different Currency
In the Sales Quote View
After activating multi-currency support, determining the currency of the sales quote is possible when adding a sales quote. The currency of the sales quote and the exchange rate in use are selected from the top right corner of the sales quote.
After selecting the currency, the values of the sales quote are automatically converted to the correct currency, and they are displayed on the sales quote. The final values of the sales quote are always saved in the company's currency as well, so sales can be consistently reviewed for each project.
When Adding a Project
Adding a sales quote is also possible directly when adding a project, by assigning a deal value to the project. When multi-currency support for sales quotes is activated, two new fields are added to the project creation view: "Deal currency" and "Deal currency rate".
These fields work in the same way as in the sales quote view, and by changing their values, you can affect the currency and exchange rate used in the sales quote. A sales quote line is automatically created from the value of the "Deal Value" field, immediately upon the creation of the project.
Viewing the Project Value in Sales Quote Currency
When a sales quote is added in a currency different from the company's currency, the sales in this other currency can also be viewed in several PSA views. The value according to the currency of the sales quote is always shown below the value in the company's currency on the project card.
Additionally, the project value in the currency of the sales quote is displayed in the project list in the column "Project Value in Sales Quote Currency". The currency of the sales quote and the exchange rate are also shown in the columns "Sales Quote Currency" and "Sales Quote Currency Rate". If a project has several sales quotes in different currencies, a combined value, e.g., "3 sales quotes", is shown in the columns. By hovering the cursor over the cell, you can see detailed information about the used currencies and rates.
